5 Everyday Tasks AI Can Take Off Your Plate
You don’t need a big project to start using AI. Here are five simple ways it can save you time this week, with examples you can copy.
In our last AI post, we talked about the myths that hold business owners back. This time, let’s get practical. You don’t need a big project or a new system to start using AI. You just need one task you’re tired of doing.
Here are five everyday jobs an AI assistant (like ChatGPT, Microsoft Copilot, or Google Gemini) can help with right now. Each one comes with a “Try this” example you can copy, paste, and fill in.
-
Write and Clean Up Emails
Stuck on how to word a tricky email? Need to say no to a customer nicely, or follow up on an unpaid invoice without sounding rude? Type out a rough version, and let AI make it clear and friendly.
Try this
“Rewrite this email so it sounds friendly and professional. Keep it short. [paste your email]”
-
Get the Short Version of Long Documents
Vendor proposals, long email chains, insurance updates, user manuals. AI can read them in seconds and tell you what matters, so you know what to look at closely.
Try this
“Summarize this in 5 bullet points. Then list any dates, costs, or things I need to do. [paste the text]”
-
Turn Meeting Notes Into a To-Do List
Messy notes from a staff meeting or a customer call? AI can sort them into a clean list of who is doing what, and by when. No more “I thought you were handling that.”
Try this
“Here are my notes from today’s meeting. Make a to-do list with each task, who is doing it, and the due date. [paste your notes]”
-
Reply to Online Reviews
Answering reviews shows customers you care, but it’s easy to put off, especially the bad ones. AI can help you write a calm, polite reply in under a minute. Just add a personal touch before you post it.
Try this
“Write a short, polite reply to this review. Thank them, apologize without making excuses, and invite them to call us at [your number]. [paste the review]”
-
Write a Job Posting
Hiring is hard enough without staring at a blank page. Give AI the basics, and it will give you a solid first draft you can adjust.
Try this
“Write a friendly job posting for a part-time office assistant at a small [type of business] in [your town]. Hours are [hours], pay is [pay]. Keep it under 200 words.”
Three Simple Rules
AI is a great helper, but it’s still a helper. Keep these in mind:
- Keep private information out. Don’t paste in passwords, credit card numbers, Social Security numbers, or private customer details, especially into free AI tools.
- Always read it before you send it. AI can get things wrong. Think of it as a fast first draft, not the final word.
- Use a business version when you can. Business AI tools come with better privacy protections, and many are already included in Microsoft 365 or Google Workspace.
Start With Just One
Pick the task on this list that eats up the most of your week, and try AI on it this week. Most people are surprised how much time it saves. Once you see it work, you’ll start spotting other places it can help.
